How to choose practice management software for an Indian clinic

2026-09-18 · MedSlay

Practice management software is a long-term relationship: your patient records will live in it for years. Most comparisons focus on feature lists; this guide focuses on the questions that actually predict whether a system will fit an Indian clinic.

The questions worth asking

  1. Does it match how your OPD actually runs? Token numbers, walk-ins alongside appointments, a queue the assistant manages, multiple clinics with different timings — if the software models a Western scheduling world, you will fight it daily.
  2. Does it speak your patients' languages? Consultations happen in Hindi, Gujarati, Marathi and more. Systems that assume English-only consultations push the translation burden back onto you.
  3. How much typing does it really save? A prescription that takes forty clicks is not faster than paper. Look for voice input, sensible defaults, and AI drafting that you confirm rather than compose.
  4. Can your whole team use it? Doctors, assistants and admins need different views and different permissions — one shared login is a security problem and a workflow problem.
  5. What happens beyond the OPD? If you admit patients, check for in-patient support: beds, daily charts, discharge summaries and insurance claim paperwork.
  6. Is it compliant? DPDP-aware consent handling, encryption and audit logs should be built in, not promised.
  7. Can patients find and book you? A public profile with timings and direct slot booking turns your software into a source of new patients, not just a record-keeper.
  8. What does it cost as you grow? Understand pricing for extra doctors, clinics and features before you commit.

What it really costs

The subscription is rarely the whole number. Before you compare two quotes, ask each vendor the same five questions:

business hours" is a different product from a phone number that answers during OPD.

  • What does adding a doctor cost? A second clinic?
  • Is training included, and for how many staff?
  • Is support included, on what hours, and through what channel? "Email only,
  • What is charged separately — SMS, WhatsApp, storage, integrations?
  • What happens at renewal?

A cheap plan that charges per doctor and per location gets expensive exactly when your practice is growing, which is the worst possible time to migrate.

Ask about the exit before you sign

The single most revealing question is: how do I get my data out if I leave? A confident vendor has an answer — an export, a format, a process. A vague answer tells you the real switching cost, and it is a cost you will pay in full at the moment you are already unhappy.

Ask specifically whether the export includes patient demographics, visit history, prescriptions and uploaded reports, and in what form. A dump of scanned PDFs is not the same as structured records.

Run a trial that tells you something

Vendor demos are performances. To learn anything, the trial has to look like your Tuesday:

actually consult in.

is where a system either holds or collapses, more than in the consulting room. See reducing OPD waiting time and no-shows for what to watch.

do their job without seeing what they shouldn't.

  • Use it for real consultations, not test patients, in the languages you
  • Put the front desk on it for a full morning, walk-ins and all — that
  • Have your assistant log in with their own account and confirm they can
  • Print a real prescription and look at it the way a pharmacist would.

Red flags

systems have a roadmap; a vendor who says every box is ticked either has not read the boxes or is hoping you haven't.

  • Claims of compliance with everything, with nothing in progress. Real
  • Per-seat pricing with no clear answer about assistants.
  • A demo that carefully avoids the front desk.
  • No way to try it on your own patients before committing.

Try it with real consultations

A demo with your own consultation style — your languages, your specialty, your patient volume — tells you more than any feature table. MedSlay covers this whole list, from AI voice consultations in 22+ Indian languages to IPD admissions with claim files, and every new registration starts with a month free on the full feature set.
